Why Our Gaming Truck Can’t Always Attend Charity Events?

At Kings Of Games, we absolutely love supporting local communities, schools, fundraisers, and charity events whenever we can. Seeing children smile, families come together, and communities having fun is one of the best parts of what we do.

But sometimes people ask why gaming trucks cannot always attend charity events for free — and we think it’s important to explain honestly and openly.

Running a Gaming Truck Comes With Real Costs

Although gaming trucks look like pure fun on the outside, there are many behind-the-scenes costs involved every single time we attend an event.

These include:

  • Fuel and travel costs

  • Insurance and licensing

  • Equipment maintenance and repairs

  • Console upgrades and new games

  • Staff wages and time

  • Cleaning and preparation before and after events

A gaming truck is a fully mobile entertainment business, and keeping everything running safely and professionally requires constant investment.

We Are a Small Business, Not a Large Corporation

Many people assume gaming businesses are huge companies with unlimited budgets. In reality, most gaming truck companies are small family-run businesses working hard to provide unforgettable experiences for children and families.

Every booking helps us continue operating, maintain our equipment, and provide the high-quality experience customers expect.

When we attend free events too often, it can directly affect our ability to keep the business running long-term.

Unfortunately, We Sometimes Receive Unfair Comments

One of the hardest parts of running a small business is that sometimes we receive rude or unfair comments when we are unable to attend a charity event for free, or when we ask for a small fee to help cover our costs.

People may not always realise that even charity appearances still involve:

  • Fuel expenses

  • Staff time

  • Equipment wear and tear

  • Travel and setup time

  • Business operating costs

Charging a small contribution towards the truck during an event is never about greed — it is simply about helping cover the real costs of providing the experience.

Like many small businesses, we are trying to balance supporting the community while also keeping our business sustainable for our own families and future customers.

We always appreciate kindness and understanding, even when we cannot say yes to every request.

We Still Love Supporting the Community

Even if we cannot attend every charity event for free, that does not mean we don’t care.

Whenever possible, businesses like ours may still try to help by:

  • Offering discounted rates

  • Providing shorter sessions

  • Donating vouchers or prizes

  • Sharing charity events on social media

  • Supporting local schools and community groups when schedules allow

We always try to help where we realistically can.

Charity Events Require Planning Too

Large charity events can often require:

  • Long travel distances

  • Full-day attendance

  • Extra staffing

  • Higher fuel usage

  • Longer equipment operation hours

Sometimes we may already be fully booked with private events that keep the business financially stable. Unfortunately, this means we simply cannot commit to every request.

Supporting Small Businesses Also Supports the Community

When families book local entertainment companies, they are also helping local businesses survive, grow, and continue giving back to communities in the future.

Without paid bookings, small businesses would struggle to continue supporting schools, charities, and local events at all.

Final Thoughts from Dee

At Kings Of Games, we truly appreciate every invitation to community and charity events. It means a lot that people think of us.

While we cannot always attend every event for free, we will always try to support local communities in ways that are fair, realistic, and sustainable for our business too.

We simply ask for understanding, respect, and kindness towards small businesses trying their best behind the scenes.

Thank you for continuing to support local businesses like ours.
